Description

Assisting, booking & managing in-house book of business 

– Existing Clients: Serving all existing clients from start to finish on all trip requests
– New Clients: Serving new leads as assigned by ownership

 

Coordinating Client’s Needs: Before, During & After Travel
– Research & quoting on hotels, cruises, airfare, insurance and other travel arrangements
– Surprising & delighting each client
– Responding to client requests and questions as needed
– Applying payments & sending out payment reminders
– Managing flight changes & seat assignments
– Concierge-related details
– Corresponding with clients on preferences, assisting with arranging surprises & welcome notes; notifying hotels of client preferences no later than 1 week prior to departure
– Preparing client documents & travel tips, either electronically or hard copies – advising
of what should be printed, building Axus documents, etc. – no later than 3 weeks prior to departure
– Send welcome home email no later than 3 business days after clients have returned
– Serving as backup travel support/main point of contact when other advisors are out of office & as needed in case of emergencies (as needed on weekends)

 

He/She will serve as a member of the Internal Team, including monthly calls and meetings (virtual and on-site), and serve as an example of the company’s mission: We are gracious travel industry citizens, dedicated to the art of making memories. Relational, humble, and intuitive people, with virtual experience and client understanding, will thrive in this role.

 

Additional Details

Team Involvement/Mentorship Program

– Assisting with professional development program for Independent Contractors

– This will typically consist of training on technology, distributing information to the team, answering questions related to shadowing

– Employee must assist in recruiting, interviewing, selecting and training any additional in-house travel advisors

-In addition to the tasks mentioned, any other assigned tasks that may arise and are assigned by ownership or members of the internal team

Criteria Includes:

– Travel advisor experience is preferred

– Must be a driven self-starter, positive thinker, proactive, and trustworthy

– Attributes of flexibility, creativity, self-discipline, strong organizational skills and action-oriented are essential for this role, as the position offers a significant amount of responsibility with accountability for results

– Strong verbal and written communication skills

– Team player who is willing and able to “roll-up your sleeves” to complete a project

– High degree of autonomy with the capability of working remotely
